Terms & Conditions of Service

These Terms & Conditions apply to all services provided by The Letting Standard. By booking a service with us, you agree to the terms outlined below.

1. Scope of Services

The Letting Standard provides independent inventory and property reporting services, including:

  • Inventory reports (pre-tenancy)

  • Check-in and check-out reports

  • Mid-term (mid-tenancy) inspections

  • Property compliance services (e.g. Energy Performance Certificates, PAT testing, and Legionella risk assessments)


Additional services may be added as our offering develops.

2. Booking & Access

  • Services must be booked via our website form, email or phone.

  • The client must confirm access arrangements, including key collection or codes.

  • The property must be in a suitable condition for inspection: clean, clear of contractors or cleaners, and accessible in full.

  • The Letting Standard cannot inspect locked or inaccessible areas and will note them as such in the report.


3. Payment Terms

  • Prices are confirmed at the time of booking and based on property size, location, and service type.

  • Invoices are due within 7 calendar days from the date issued or prior to release of the report (whichever is sooner).

  • Payment can be made by bank transfer (details provided on the invoice).

  • All reports remain the intellectual property of The Letting Standard until paid for in full.

  • Overdue invoices may incur a 2% interest charge per month.


4. Cancellations & Aborted Jobs

  • Cancellations with more than 24 hours’ notice are free of charge.

  • Cancellations within 24 hours of the appointment may be charged at 50% of the service fee.

  • Aborted Jobs: If our clerk attends a property but is unable to complete the scheduled work due to reasons beyond our control - such as:

    • Cleaners or tradespeople still on site

    • Tenants not fully vacated

    • Ongoing maintenance or repairs

    • Incomplete access or unsafe conditions
      — the full fee will still be payable.
      We will arrange to return at another mutually convenient time to complete the job, subject to availability.


5. Liability

  • The Letting Standard holds professional indemnity and public liability insurance.

  • We take all reasonable care to ensure reports are accurate and thorough, but we accept no liability for any indirect or consequential loss.

  • Our responsibility is limited to the preparation and delivery of professional, impartial documentation.

  • It is the client’s responsibility to review the report promptly and notify us of any errors within 48 hours of receipt.


6. Use of Reports

  • Reports may not be altered, duplicated, or resold without written consent.

  • Reports are intended for use in tenancy deposit protection, dispute resolution, and compliance with rental legislation.

  • Any tampering or misuse of our documentation will be considered a breach of these Terms.


7. Disputes & Complaints

  • Our reports are designed to provide a clear, unbiased record of a property's condition.

  • We are not responsible for how third parties (e.g. landlords, tenants, agents, deposit schemes) interpret the report.

  • Any concerns should be raised in writing within 7 days of receiving the report. We aim to resolve complaints fairly and promptly.


8. Data Protection

  • We adhere to the UK GDPR and respect your privacy.

  • Any data shared with us will only be used to deliver our services or meet our legal obligations.

  • Your information will never be sold or shared with third parties for marketing purposes.
